The protection of your personal data is a matter of fundamental concern for the University of Freiburg, and we want to ensure that you are informed as best as possible about the processing of your personal data.

We are therefore providing you, in accordance with Art. 13 EU-GDPR, with the following information on the collection and processing of your personal data for participation in the Freiburg Rising Stars Academy:

Purpose of the processing

Die Freiburg Rising Stars Academy (FRSA) is a project for initiating international research collaborations and, in the medium term, for recruiting talented young international researchers for the University of Freiburg, although admission to the FRSA does not lead to an employment relationship.”

 

International doctoral candidates and early-career researchers can apply for admission to the FRSA Academy over the website www.frsa.uni-freiburg.de. Successful candidates will begin virtual collaboration with their host principal investigators at the  University of Freiburg starting in fall 2023. The “Rising Stars” will be invited to present their research at a conference to be held in Freiburg in March 2023. During a stay of several days length, you will also receive the opportunity to intensify your cooperation with the host institute. Expenses for travel and accommodations for Rising Stars participating in the conference will be covered by project funds. Project funds cannot be granted to cover human or physical resources for research.

To select suitable candidates and realize and conduct the project, we are required to collect and process personal data of applicants or participants (Rising Stars).

The data collected in the context of the project are processed only for these purposes and are held in strict confidence.

Without providing your personal data, you cannot participate in the FRSA project.

Categories of data processed

·         Last name, first name, and title (if applicable)

·         Address

·         Contact information (email address and telephone number)

·         Curriculum vitae, including corresponding certificates and possibly a profile photo

·         Project proposal for the research collaboration

·         Publication list

Legal basis for the processing:

·         Art. 6(1) first subparagraph of (e), (3) EU-GDPR in conjunction with § 2, 12 LHG

·         Art. 6(1) first subparagraph of (a), Art. 7 EU-GDPR

Duration of data retention or criteria for determining the duration

If your application is not successful, your personal data will be promptly destroyed or deleted no later than six months after the conclusion of the application process, insofar as you have not consented separately to having your data processed for subsequent application processes or for the initiation of research collaborations.

If your application is successful, your data will be destroyed or deleted after successful completion of the project term, unless a cost-neutral extension of the term is applied for and granted. Then the data will be promptly destroyed or deleted at the end of the extended project term.

Regardless of the success of your application, your data will be promptly destroyed or deleted if you withdraw your consent.

For purposes of financial accounting and in the area of the university’s Financial Transactions Office, your personal data will be deleted at the end of the legal retention periods, which arise in particular from the Baden-Württemberg State Budgetary Regulations (Landeshaushaltsordnung – LHO), the German Commercial Code (Handelsgesetzbuch – HGB), and the German Tax Code (Abgabenordnung – AO). The retention periods are up to 10 years according to these regulations, generally 6 years for records and 10 years for accounting, cash book, and organizational documents according to the LHO.

Personal data may also be stored if this is provided for by European or national legislators in EU regulations, laws, or other provisions to which the controller is subject.

Categories of recipient

The recipients of your personal data are the respective host principle investigators, members of the respective selection committee, the respective persons responsible for project organization, and the external referees in the selection process.

Your rights as a data subject

1.    You have the right to access your personal data stored by the University of Freiburg and/or to obtain the rectification of inaccurate data.

2.    You also have the right to obtain the erasure of your personal data or the restriction of their processing or a right to object to their processing.

3.    If you have given us your consent, you also have the right to withdraw your consent at any time, although the lawfulness of any processing carried out on the basis of the consent prior to its withdrawal is thereby not affected. You may also withdraw your consent for the processing of individual data. In this case, please contact eva.rueskamp@zv.uni-freiburg.de.

4.    You have the right to lodge a complaint with a regulatory authority if you are of the opinion that the processing of your personal data is in violation of law.
